Why this matters. Two-thirds of new-patient cancellations and no-shows happen because there was no commitment cost at booking. Pay at booking eliminates a third of no-shows in our reference data. Plus: chasing outstanding invoices manually is the highest-cost-per- dollar work your reception team does.

What Robyn will do with payments

Take a deposit at booking

During the booking flow, Robyn collects a deposit (or full pre-payment) — patient enters card details via secure link, Robyn confirms the booking once the charge clears.

Take full payment at booking

For services where you charge upfront, Robyn collects the full appointment fee at booking and the booking is confirmed in your PMS only after success.

Chase outstanding invoices

See Invoice Chasing for the multi-touch chase sequence. Patient can pay via a one-click link in the SMS / email.

Handle refunds

Within the cancellation window, Robyn issues automatic refunds (configurable: full / partial / none).

Expected payment providers

At launch we’ll support:
  • Stripe — primary, available in all Routiq regions
  • Square — for clinics already using Square in-clinic
  • Tyro Health (AU) — for Medicare/health-fund-integrated clinics
PMS-native payment integrations (Cliniko Payments, Nookal Pay, PracSuite Billing) will sync where available, so the payment lands in your PMS reporting alongside other practice payments.

Expected setup flow

When the integration ships, setup will look like this (subject to refinement during beta):

Connect a payment provider

SettingsPaymentsConnect → choose Stripe, Square, or Tyro. OAuth-based — paste no API keys.

Set per-appointment-type pricing

For each appointment type in your PMS, set: deposit amount, full pre-pay, or post-appointment invoice.

Configure refund rules

Tied to your cancellation window — automatic refunds within the window, no refund outside, partial refund optional.

Test with a low-value appointment type

Most clinics roll out payments first on initial-consult bookings before extending to follow-ups.

Why we’re building this

Payments is the most-requested feature from clinics already using Routiq — a third of customer-success conversations mention it. Building this closes the loop on revenue (book → confirm → take payment → fulfill → reconcile) inside a single platform.

In the meantime

If you want pay-at-booking today, you can use Cliniko’s, Nookal’s, or PracSuite’s native payment flows. Robyn will book into the PMS as normal, then your team takes payment via the PMS’s existing checkout.
